Instantly is the campaign layer. It sends, warms, tracks and replies. It does not create your domains, your mailboxes, your DNS records or your sender reputation — that is the layer underneath, and it is where most Instantly campaigns actually fail.
That layer is my whole job. Over the last few years I have built it for more than a hundred clients and ten-plus agencies: hundreds of thousands of cold email accounts across Google Workspace, Microsoft 365 and Azure, and the DNS behind millions of sent emails. Not copy, not lists, not strategy decks. The machinery.
What I do for Instantly users
Build the fleet
Domain sourcing, Google Workspace and Microsoft 365 mailboxes at volume, SPF, DKIM and DMARC with MTA-STS and BIMI on top, a custom tracking domain, and every account connected to Instantly with warm-up on and daily limits set.
Fix and size it
Deliverability audits and recovery when placement drops: message headers, blacklists, alignment, reputation. Volume architecture — how many domains, mailboxes and tenants you need for the daily send rate you want, and how to split them across providers.
Run it at scale
Bulk provisioning across Cloudflare, Workspace and Microsoft tenants, Instantly API connections, and verified B2B lead data and list cleaning through Rooster4am so the fleet has clean lists to send to.
How a setup runs
Six steps, in this order. Each one has to be right before the next one works.
1. Scope
You tell me the daily volume and who you send to. I come back with a domain and mailbox count, a provider split and a written price. The capacity calculator gives you the first estimate before we talk.
2. Domains and DNS
Separate sending domains that look like your brand, registered in your name and set to auto-renew. Each one gets SPF, DKIM, DMARC, MTA-STS, a redirect to your real site and a CNAME for the Instantly tracking domain, applied in bulk through Cloudflare.
3. Mailboxes
Google Workspace or Microsoft 365 tenants provisioned at volume, with real names, profile photos and signatures, and account recovery pointed at your phone and email — not mine.
4. Connect to Instantly
Every account goes into your workspace by OAuth or SMTP, warm-up switched on from day one, a low daily limit that I step up week by week, and reply-to and unsubscribe settings checked.
5. Test before launch
A real placement test to Gmail and Outlook seeds, headers read by hand, and any failure fixed before the first campaign goes out. You get the result, not a promise.
6. Hand over
A document listing every domain, record and mailbox, plus what to watch and when to add capacity. Ongoing monitoring is optional and separate.
The numbers
100+
Agencies, founders and sales teams, most of them sending from Instantly.
10+
White-label infrastructure behind agencies that keep the client relationship.
200,000+
Cold email accounts created and configured across Workspace and Microsoft 365.
10M+
Through infrastructure I built and manage.
Check my own setup first
My own domain scores 99 out of 100: DMARC at p=reject, MTA-STS enforced, TLS-RPT and BIMI published. I run the same checks on it that I run on yours, with the same free tools — 93 of them, built from the checks I do on client fleets.
Common questions
Are you an official Instantly partner?
I am applying through the Instantly Solutions Partner program, which is what puts a profile on instantly.ai/experts. Whatever the listing says, the work is the same: I run infrastructure for teams whose campaigns live in Instantly, and I operate independently of Instantly.
Do you run the campaigns too?
No. I build and maintain the sending layer: domains, mailboxes, DNS, warm-up, tracking domain, and the account settings inside your Instantly workspace. Copy, lists and campaign strategy stay with you or your agency. If you want lists, Rooster4am does verified B2B data and list cleaning.
How many inboxes and domains will I need?
It depends on daily volume. As a rough guide, one mailbox sends 20 to 40 cold emails a day safely and a domain holds two or three mailboxes. Two thousand a day is around 60 to 80 mailboxes on 25 to 30 domains. The free capacity calculator works it out for your numbers.
Google Workspace, Microsoft 365, or both?
Both, if your list is mixed, because Gmail and Outlook judge senders differently and a fleet split across both keeps one provider’s bad day from stopping everything. I can supply Google Workspace licences at reseller price, below the public list price, and I manage the tenants directly.
My existing Instantly accounts are landing in spam. Can you fix them?
Usually, yes, and I check before quoting. I read message headers, placement tests, blacklists, alignment and sending history, then tell you what is recoverable and what is cheaper to replace. Sometimes the honest answer is to retire a few domains.
Do I own the domains and accounts?
Yes. Every domain and tenant is registered in your name on your billing, with recovery pointed at your phone and email. If we stop working together, you keep all of it and nothing changes in Instantly.
Can you work white-label behind my agency?
Yes, and a lot of my work is exactly that. You keep the client relationship and the Instantly workspace; I build and maintain the infrastructure behind it and stay invisible.
Talk to me
Bring the daily volume you want and a screenshot of your Instantly account health. That is the whole conversation starter.
What happens on the call
We look at your fleet together, I tell you what is wrong and what it takes to fix. If you can do it yourself, I will say so.
