Why Are My Cold Emails Going to Spam? 9 Real Causes (and Fixes)

Every week someone messages me the same thing: "our replies died — everything's going to spam." After auditing hundreds of sending setups, the cause is almost always one of the nine below. Here they are, ranked by how often I actually find them in the wild.

1. Missing or broken SPF, DKIM and DMARC

Since Google and Yahoo's bulk-sender rules, unauthenticated mail doesn't get a maybe — it gets junked or rejected. Every sending domain needs SPF, DKIM and DMARC published and aligned. The failure I find most is silent: DNS looks "set up" but DKIM was never enabled at the mailbox provider, or a stray record breaks alignment. I once audited a fleet where 228 Microsoft domains had DKIM misconfigured — months of campaigns quietly bleeding into spam. Full setup in my SPF, DKIM & DMARC guide.

2. No warmup — or warmup done too fast

A fresh inbox that sends 50 cold emails on day one looks exactly like a spammer to Google, because that's exactly what spammers do. New inboxes need 2–3+ weeks of gradual volume ramp before real campaigns. The full schedule is in my warmup guide.

3. Volume spikes your infrastructure hasn't earned

Reputation is a budget. Doubling daily volume overnight — new client, new list, "let's push harder" — spends reputation you don't have. Scale gradually, per inbox, per domain, and know your fleet's real ceiling: my sending limits breakdown covers the safe numbers.

4. Sending cold email from your main domain

Your primary domain carries your brand's entire email reputation — transactional mail, client threads, invoices. One bad campaign can poison all of it. Cold outreach belongs on secondary sending domains that redirect to your main site. Setup pattern in the domain setup guide.

5. Dirty lists: bounces and spam traps

Mailbox providers watch your bounce rate like a credit score. Above ~3% hard bounces and you're flagged. Unverified scraped lists are also full of spam traps — addresses that exist only to catch senders who don't verify. Run every list through proper verification (MX check → SMTP-level validation → catch-all handling) before it touches a campaign.

6. Shared tracking domains

If your sending tool tracks opens/clicks through its default shared domain, your deliverability is chained to every spammer using that same domain. Set a custom tracking domain per brand — five minutes of DNS that removes a whole class of risk. Why and how: custom tracking domains.

7. Blacklistings

A Spamhaus listing will crater placement overnight. Most "blacklist checkers" panic you about vanity lists that don't matter — the ones that do are a short list. How to check and delist: email blacklists explained.

8. Copy that pattern-matches spam

Infrastructure decides most placement, but copy tips borderline cases: ALL-CAPS subject lines, wall-of-links, image-heavy HTML, urgency clichés. Cold email should read like a short, plain, one-to-one note — because that's what inboxes are for.

9. No opt-out and no compliance basics

CAN-SPAM requires a working opt-out and a truthful sender identity. Beyond legality, a missing opt-out converts "not interested" into spam complaints — and complaint rate above ~0.3% is the fastest way to get an entire domain junked under Google's bulk sender rules.

Fix order that actually works

Measure placement

Run an inbox placement test by provider (Gmail, Outlook, others) so you know what's actually broken.

Fix authentication

Verify SPF, DKIM, DMARC on every sending domain — published, enabled, aligned.

Cut volume, clean lists

Drop to engaged-only sends, verify every list, add opt-out.

Rebuild or rotate

Recover mildly-hit domains slowly; retire hard-burned ones and rotate warmed replacements in.

Check the three things you can fix today

Run the copy through the spam word checker, the template through the email size checker for links, pixels and Gmail clipping, and the list through the email list cleaner before the next send. Those three account for most of the causes above that are not infrastructure.

Frequently asked questions

Why do my cold emails suddenly go to spam?

The most common causes of a sudden drop are a volume spike beyond what your domains earned, a burned domain or IP reputation, a broken SPF/DKIM/DMARC record after a DNS change, or a spam-rate complaint spike. Check inbox placement by provider first, then authentication, then blacklists — in that order.

Can I fix a domain that already lands in spam?

Sometimes. If reputation damage is mild, cutting volume 70–80% for 2–3 weeks while sending only to engaged recipients can recover it. If the domain is hard-burned (Spamhaus listing, sustained junk placement), it is usually faster and cheaper to retire it and rotate in a fresh, warmed domain.

Does email copy really affect spam placement?

Yes, but less than infrastructure. Authentication, domain reputation and volume discipline decide most placement. Copy matters at the margins: spam-trigger formatting, heavy links and images, no plain-text feel, and no opt-out all push borderline messages to junk.
