Pick the platform, then the job
The platform sets how the signature is delivered: rich text for Gmail, Outlook and Apple Mail, a file for classic Outlook or Thunderbird, a rule for Microsoft 365 and Exchange, raw HTML for sending tools. Professional, cold email, reply, corporate or booking link. The type decides which fields appear and whether the output is a styled table or plain lines.
Choose a template, fill it in
Nine designed templates, from a classic photo-left layout to a monogram that needs no image. The preview redraws as you switch, so you compare them on your own details. Basic mode asks for six fields; Advanced adds typeface, image shape, every social link, the raw code and the bulk builder. Empty fields are left out, not rendered as gaps. Social handles become full links, a bare domain becomes a proper URL, and an image has to be a hosted https file.
Read the weight panel
Links, images, bytes and lines are counted on the actual output, then judged against the type: a cold signature is held to a much tighter budget than a professional one.
Copy in the right format
The main button copies in the form your platform takes: rich text for Gmail, Outlook and Apple Mail, HTML for Thunderbird, Exchange rules and sending tools. Plain text is always there, and the download row gives PNG, PDF, HTML and TXT.
Why Outlook breaks signatures
Classic Outlook for Windows has rendered HTML with Microsoft Word since 2007. Word ignores border-radius, object-fit, flexbox, most margins on block elements and any unit that is not a pixel or point. A signature built with divs comes out stacked, stretched or re-spaced. The output here is nested tables with inline styles, fixed pixel widths on cells and images, and the two Outlook-specific rules that stop it adding its own line-height and table gaps. Choose Outlook in the platform dropdown and the photo is also output square at an exact size, because Word will not crop or round it.
Two ways to install it
Paste it: Copy for Outlook, then File, Options, Mail, Signatures, New, and paste with Keep Source Formatting. Or skip the editor, which is where most formatting damage happens: download the .htm and .txt pair and drop both into %APPDATA%\Microsoft\Signatures. Outlook lists any .htm it finds there by file name and uses the .txt twin for plain-text mail. On Microsoft 365 accounts recent builds sync signatures to the cloud; if a file-based signature does not appear, use the paste route.
New Outlook and Outlook on the web
Both use a browser engine, so they are far more forgiving, and both store the signature with the mailbox rather than on the PC. Set it once in Settings, Accounts, Signatures and it follows you between the two. Outlook for iPhone and Android keeps its own signature inside the app; paste the plain-text version there.
What your recipients see
Outlook blocks remote images from senders the reader has not trusted, so a logo can show as an empty box until they click to download pictures. That is a reason to keep the name, title and phone as live text and never send the signature as one big image. Frequently asked questions
Where is the Outlook signatures folder?
Paste %APPDATA%\Microsoft\Signatures into the File Explorer address bar. Put the downloaded .htm and .txt files there and restart Outlook.
Why is my photo square in Outlook?
Classic Outlook renders with Word, which cannot round or crop images. Use a square picture, or one already cut to a circle on a transparent background.
Does this work with Outlook 365?
Yes. Outlook from a Microsoft 365 subscription is either classic Outlook or new Outlook. Pick the matching platform in the dropdown and follow its steps.
Why does the signature look different after I paste it?
Outlook applied its own paste formatting. Choose Keep Source Formatting when pasting, or install the .htm file instead, which bypasses the editor.
