Pick the platform, then the job
The platform sets how the signature is delivered: rich text for Gmail, Outlook and Apple Mail, a file for classic Outlook or Thunderbird, a rule for Microsoft 365 and Exchange, raw HTML for sending tools. Professional, cold email, reply, corporate or booking link. The type decides which fields appear and whether the output is a styled table or plain lines.
Choose a template, fill it in
Nine designed templates, from a classic photo-left layout to a monogram that needs no image. The preview redraws as you switch, so you compare them on your own details. Basic mode asks for six fields; Advanced adds typeface, image shape, every social link, the raw code and the bulk builder. Empty fields are left out, not rendered as gaps. Social handles become full links, a bare domain becomes a proper URL, and an image has to be a hosted https file.

Links, images, bytes and lines are counted on the actual output, then judged against the type: a cold signature is held to a much tighter budget than a professional one.
Copy in the right format
The main button copies in the form your platform takes: rich text for Gmail, Outlook and Apple Mail, HTML for Thunderbird, Exchange rules and sending tools. Plain text is always there, and the download row gives PNG, PDF, HTML and TXT.
How Gmail treats a signature
The signature box in Gmail is a small rich-text editor. There is no code view, so an HTML signature goes in by pasting formatted content, which is what the Copy for Gmail button puts on your clipboard. Gmail keeps inline styles, tables and links, and throws away style blocks and scripts. It also refuses to save a signature longer than 10,000 characters, and that count includes all the markup you never see. A designed signature with a photo and four links sits around 2,500; a long legal disclaimer is what usually pushes people over.
Photos and logos in Gmail
An image has to live at a public https address. Gmail removes images embedded as base64, and a Google Drive share link only works if the file is shared with anyone who has the link, and breaks the day someone tidies the folder. The Gravatar button is the quickest route: it looks up the picture tied to your email address and uses Gravatar's own hosting. If you paste your own link, the tool loads it and tells you the pixel size, because a 3,000-pixel photo shown at 72 adds its full weight to every email you send.
New emails, replies and the mobile app
Under Signature defaults Gmail lets you pick a different signature for new messages and for replies. Use the full one for new mail and the Reply type here for threads, so a ten-message conversation does not carry ten copies of your logo. Tick "Insert signature before quoted text" or Gmail puts it under the whole thread. The Gmail mobile app uses this same signature unless you set a separate mobile signature in the app, which is plain text only.
Google Workspace teams
The Workspace admin console can only append a footer to outgoing mail; pushing a designed signature to every user takes the Gmail API or a paid signature manager. For a small team, build the signature here once, change the name and title per person, and have each person paste their own. For cold sending inboxes on Workspace, switch the type to Cold email: the rules there are the opposite of everything on this page.

Frequently asked questions
Why does my Gmail signature lose its formatting?
Because HTML source or plain text was pasted instead of rich text. Use the Copy for Gmail button and paste straight into the signature box in Settings, General, Signature.
What is the Gmail signature character limit?
10,000 characters including the HTML you do not see. The tool shows the running count. If you are over, shorten the disclaimer or choose the Compact template.
Why is my logo not showing in Gmail?
The link is not a direct, public https image. Share pages from Drive or Dropbox and embedded base64 images do not work. Host the file on your site, or use the Gravatar button.
Does this work for Google Workspace accounts?
Yes. Workspace and gmail.com use the same signature settings. Each user pastes their own. Central deployment needs the Gmail API or a signature manager.
