Pick the platform, then the job

The platform sets how the signature is delivered: rich text for Gmail, Outlook and Apple Mail, a file for classic Outlook or Thunderbird, a rule for Microsoft 365 and Exchange, raw HTML for sending tools. Professional, cold email, reply, corporate or booking link. The type decides which fields appear and whether the output is a styled table or plain lines.

Choose a template, fill it in

Nine designed templates, from a classic photo-left layout to a monogram that needs no image. The preview redraws as you switch, so you compare them on your own details. Basic mode asks for six fields; Advanced adds typeface, image shape, every social link, the raw code and the bulk builder. Empty fields are left out, not rendered as gaps. Social handles become full links, a bare domain becomes a proper URL, and an image has to be a hosted https file.

Read the weight panel

Links, images, bytes and lines are counted on the actual output, then judged against the type: a cold signature is held to a much tighter budget than a professional one.

Copy in the right format

The main button copies in the form your platform takes: rich text for Gmail, Outlook and Apple Mail, HTML for Thunderbird, Exchange rules and sending tools. Plain text is always there, and the download row gives PNG, PDF, HTML and TXT.

What goes in, what stays out

First name or full name, title, company. That tells the reader a person wrote it and where they work, which is all a first touch needs. Logos, headshots, social icons, banners and a row of links belong on your main inbox, not on an address that started sending three weeks ago. Every image is a remote load, every link is another domain whose reputation is judged with yours, and tracked links get rewritten through a tracking domain on top. The output here is unstyled lines, and the company domain stays as text unless you ask for a link.

Opt-out and address without an unsubscribe link

CAN-SPAM requires a clear way to stop the emails and a valid physical postal address. A sentence such as "Not relevant? Reply no and I will not follow up" satisfies the first, adds no link, and gives an irritated reader something easier than the spam button. Pick a line from the dropdown or write your own. The address can be a registered office or a mailbox service.

Rotation, names and spintax

A campaign rotates through many inboxes. If the body says Sarah and the signature says Marcus, the reader notices before any filter does. Set a signature on each account and place it with the tool's tag: {{accountSignature}} in Instantly, %signature% in Smartlead. The spintax closing word varies Best, Thanks and Cheers per send, written in whichever syntax the selected platform uses. Switch to Advanced for the bulk builder: paste the inbox list and download a CSV with one signature per sender.

Follow-ups and replies

By step two the reader has seen your title and company. Drop to the Reply type, a closing word and a first name. When someone answers, reply from your real signature if you like: that is a conversation now, not a cold send. If the numbers are already bad, the signature is rarely the cause. Start with the signature checker, then look at DNS and volume per inbox.

Should cold emails have a signature?

Yes, a short plain one: name, title, company, then an opt-out sentence and a postal address. No logo, icons or banner.

Do links in a signature hurt cold email deliverability?

One link is rarely fatal, but each adds a domain to be judged, and tracking rewrites it. On a first touch from a young inbox, keep the domain as plain text.

How do I add signatures to many Instantly inboxes?

Use Advanced mode here, paste the inbox list into the bulk builder and download the CSV. Set each account's signature, then put {{accountSignature}} in the sequence.

Is a reply-based opt-out legal?

CAN-SPAM accepts a reply-to-opt-out mechanism as long as it is clear and you honour it within ten business days. Other countries differ; check the CAN-SPAM checker for the UK, EU and Canada.
